The Baselane Smart Features That Save Hours of Bookkeeping

I have been using Baselane’s free plan for a while now and it has done a solid job of keeping my bookkeeping organized. But I finally decided to upgrade to the Smart subscription, and I want to walk you through what that actually looks like, because I did it live without testing anything beforehand.

No staged demo. Just me upgrading in real time and figuring it out as I went.

Here is what the Smart subscription unlocks and why I think it is worth it for investors who are doing serious volume or paying someone to manage their books.

What the Smart Subscription Adds

The three main additions are advanced tagging options (including custom categories), an AI auto-tag assistant, and unlimited team members. On the free plan, you are limited to predetermined categories and you cannot add team members without a subscription. Smart removes both of those constraints and layers in some automation that can genuinely cut down on the manual work.

Feature 1: Custom Categories

The free version of Baselane gives you a solid set of standard real estate expense categories. But sometimes you want to get more granular than what is there by default.

During the video, I live-tested this by adding “driveway” as a subcategory under capital expenditures. I had never done it before and was figuring it out on screen. It was pretty simple: go into the CapEx parent category, add a new subcategory, name it what you want. Within a minute, “driveway” showed up in the dropdown when categorizing transactions.

That kind of detail matters if you want to track specific types of capital expenses separately. If you have multiple properties with driveways and you are managing your CapEx carefully, being able to break that out gives you a much cleaner picture when you are looking at your reports.

Feature 2: Auto-Transfer Rules

This one is practical in a way that is easy to overlook until you actually need it.

You can set a minimum balance rule on any Baselane account. So if a specific account drops below a certain threshold, Baselane will automatically pull money from your designated funding account to bring it back up to that amount.

In the video I set it up for a specific account with a $600 minimum. If the balance falls below $600, it pulls from the owner account to top it back up. You do not have to remember to check it. You do not have to manually move money. It just handles it.

For investors who have multiple LLCs and multiple accounts, this kind of rule is a genuine quality-of-life improvement. It is the difference between proactively managing your cash and reactively scrambling when something hits an account that did not have enough in it.

Feature 3: AI Auto-Tag Assistant

This is the feature I was most curious about. The AI auto-tag assistant learns from your past categorization history. Once you enable it, it pays attention to how you have been categorizing transactions and starts suggesting the same categorizations going forward.

The example that makes it click: say you have an Airbnb cleaner you pay every month. It is the same amount, same vendor, same property, same category. Every single time. With the AI assistant enabled, Baselane remembers that pattern and automatically applies the same tags the next time that transaction comes through. You do not have to touch it.

The same logic applies to any recurring, predictable expense. The AI is not trying to make judgment calls on ambiguous transactions. It is just watching what you do consistently and reflecting that back so you are not re-doing the same categorization work over and over.

Feature 4: Bookkeeping Rules

Bookkeeping rules are similar to the auto-tag assistant but more deliberate. Instead of letting the AI infer patterns from history, you manually define a rule upfront.

The example I walked through in the video: Home Depot. If you have one LLC that does most of its repairs through Home Depot, you can create a rule that says any time a Home Depot transaction comes through this specific account, categorize it as repair supplies and assign it to this property. No amount required. Just the vendor name and the rule.

From that point forward, every Home Depot charge on that account gets automatically tagged. You never have to manually categorize it again.

Bookkeeping rules vs. AI auto-tagging: what is the difference?

The AI auto-tag assistant learns from what you have done in the past and starts suggesting the same tags automatically. Bookkeeping rules are rules you set proactively, before the transactions come in. Both do similar things, but rules give you more control when you already know exactly how something should always be categorized.

The Real Value: Your Bookkeeper Bills Less

Here is how I actually think about whether a paid subscription is worth it.

If you are paying a bookkeeper by the hour, every transaction they have to manually categorize costs you money. If the AI assistant or bookkeeping rules automatically handle most of your recurring transactions before your bookkeeper even opens the file, that is a real reduction in hours. Which means a real reduction in what you pay.

And even if you are doing your own books, the time math still works. Spending an hour a day manually categorizing transactions is time you are not spending on acquisitions, on underwriting, on managing properties. If these features cut that down to fifteen minutes, that is a meaningful return on what the subscription costs.
